Terms and Conditions
Version 1.1 · Effective 20 October 2026
The “In short” lines are plain-language summaries for convenience only; the numbered clauses are the binding text.
1. Subject and Scope
In short: Rolio is operated by Cofounderie in Dubai. Creating an account means you agree to these Terms, and material changes come with at least thirty days’ notice.
1.1 The Rolio websites (“Websites”) and the Rolio web application, including job boards and application forms embedded on third-party websites, and related services (together, the “Services”) are operated by COFOUNDERIE TECHNOLOGY FZCO, Trade License 41226, Office 301, A2 Building, Dubai Silicon Oasis, Dubai, United Arab Emirates (“Cofounderie,” “Rolio,” “us,” or “we”).
1.2 These terms and conditions (the “Terms”) form a binding agreement between Cofounderie and the person or entity that creates an account, accepts these Terms, or otherwise uses the Services. If you use the Services on behalf of an organization, you represent that you have authority to bind that organization, and “you” includes that organization. Applicants who submit an application through a Rolio-powered job board do not enter into this agreement; section 1.6 explains what applies to them.
1.3 If you do not agree to these Terms, do not create an account or use the Services.
1.4 Cofounderie may update these Terms prospectively. We will give account holders reasonable advance notice of a material change — at least thirty days, by email, an in-product notice, or both — except where a change is required sooner by law, security, or an urgent technical need. A material change will not apply retroactively.
1.5 If you do not agree to a material change, you may terminate your account before it takes effect. Continued use after the effective date constitutes acceptance only to the extent permitted by applicable law.
1.6 For applicants. If you apply for a job through a Rolio-powered job board, you are not asked to accept these Terms and you are not bound by them. Three things concern you: (a) the talent-pool checkbox on the application form is optional and always unticked; if you tick it, section 2.13 and the Talent Pool Privacy Notice say when we may contact you and how to leave; (b) what you submit must be your own and truthful, and must not contain other people’s personal data beyond what the application needs; and (c) your application is held by the company you applied to under that company’s privacy notice, and only the talent pool is Rolio’s own, covered by our Talent Pool Privacy Notice. Requests about your application go to the company; requests about the talent pool go to support@getrolio.com.
2. Services and Rights
In short: Companies post jobs and track applicants; candidates apply. The software is ours, your content is yours, and the AI that reads CVs never makes hiring decisions.
2.1 Rolio is an applicant tracking system (ATS) and hiring workspace. It lets companies and teams (“Customers”) create job postings and application forms, customize and share a hosted job board or embed it on their website, manage candidate profiles and CVs, organize hiring stages, and work together through notes, comments and tasks. Individuals can submit applications to Customers (“Applicants”).
2.2 What you can do in the Services depends on your role in a company workspace (owner, recruiter or viewer), not on a paid plan. The software is provided free of charge (see section 5).
2.3 Subject to these Terms, Cofounderie grants you a non-exclusive and non-transferable right to access and use the Services.
2.4 All content made available through the Services by Cofounderie, including designs, graphics, images, information, software, and text, as well as their arrangement and selection, belongs to Cofounderie or its licensors. You may not copy, distribute, display, download, post, reproduce, republish, scrape, sell, or transmit it, in any form or by any means, in whole or in part, other than as expressly permitted in these Terms. This does not apply to content you or other users submit to the Services (see section 4).
2.5 “Cofounderie,” “Rolio,” and all other trademarks, service marks, graphics, and logos used in connection with the Services are trademarks or service marks of Cofounderie or their respective owners. Access to or use of the Services does not grant you a right or license to reproduce or otherwise use them, except for the embed code provided to you for displaying your job board on your own website.
2.6 You may not derive or attempt to derive the source code of any part of the Services, permit any third party to do so, or decompile, disassemble, reverse engineer, or translate the Services or any part thereof. Cofounderie and its licensors retain all intellectual property and other rights in the Services and any modifications to them.
2.7 You represent and warrant that your access to and use of the Services is in accordance with these Terms and all applicable laws, rules, and regulations of any jurisdiction relevant to you, including, for Customers, all laws applicable to recruitment, employment, non-discrimination, and the processing of applicant data.
2.8 Cofounderie may update and improve the Services. If we discontinue the core free service or materially reduce access to existing workspace data, we will give at least thirty days' advance notice and a reasonable opportunity to request an export before deletion, unless law or an urgent security risk prevents that notice. We will not automatically convert a free account into a paid subscription or charge you without your explicit agreement.
2.9 The Services are provided on an “as is” and “as available” basis. Cofounderie endeavors to keep the Services available at all times but does not guarantee uninterrupted availability; access may be suspended, for example, due to maintenance, technical faults, or circumstances outside Cofounderie's control. Cofounderie does not guarantee that content stored in the Services will never be lost or corrupted, and you are advised to maintain independent copies of content that is important to you. This clause does not reduce any express data-processing, confidentiality, or security obligation Cofounderie has undertaken, and mandatory statutory warranty rights remain unaffected.
2.10 The Services may contain links to third-party websites, including Customers' own websites and websites linked from job postings. Cofounderie has no control over, and assumes no responsibility for, the content or practices of any third-party websites.
2.11 The Services may use automated tools to extract and structure information contained in a CV or résumé. These tools may produce incomplete or inaccurate output. They do not rank Applicants, recommend hiring outcomes, or make employment decisions on behalf of a Customer. Customers must review the source material and exercise independent human judgment before relying on extracted information or making a decision that affects an Applicant, and must not use the Services to make a solely automated decision with legal or similarly significant effects concerning an Applicant.
2.12 Public application forms include an optional, always-unticked checkbox through which an Applicant may consent to joining the Rolio talent pool, as described in the Privacy Policy. The checkbox is part of the platform and is shown on all application forms; the Applicant's choice has no effect on their application to the Customer, and Cofounderie is the controller for talent-pool data.
2.13 The talent pool is not active yet. An Applicant’s tick on the application form records their consent and the exact wording they saw; nothing else happens until the pool opens. Cofounderie will not contact an Applicant about other roles before it has emailed them first, with a way to leave, and an Applicant can withdraw consent at any time by writing to support@getrolio.com. The Talent Pool Privacy Notice describes the same.
3. Account
In short: You need an account with accurate details, you must be 18+, and you keep your password safe. Applicants don’t need an account.
3.1 To access and use parts of the Services as a Customer, you must create an account. Applicants may submit applications without creating an account.
3.2 You register using the authentication options offered by the Services and accept these Terms as part of registration. The Privacy Policy explains how your data is handled; acknowledging it is not blanket consent to optional processing.
3.3 You must keep your password and other account-security information confidential.
3.4 You agree to provide accurate, complete, and current information about you as requested by Cofounderie.
3.5 You must be at least eighteen years old to create an account.
4. Content
In short: You and the relevant rights holders keep your rights in uploaded content. We receive a limited license to operate the service, not ownership of your candidates or their data.
4.1 You and the relevant rights holders retain your respective rights in job postings, application forms, applications, documents such as CVs, notes, and other materials submitted through the Services (“User Content”). Storing a candidate's data does not transfer their intellectual property or data protection rights to you or to us. You grant Cofounderie a non-exclusive, worldwide, royalty-free license to host, copy, transmit, display, format, and otherwise process User Content only to provide, secure, maintain, and support the Services; to follow the Customer's documented instructions; and to comply with law. This license ends when the relevant User Content is deleted from active systems, subject to limited backup, security, and legal-retention periods.
4.2 You are responsible for the User Content you create, store, or submit and represent that you own or have the necessary legal rights for it to be used through the Services.
4.3 Customers are responsible for the job postings they publish and for their handling of applicant data received through the Services, including compliance with applicable employment, non-discrimination, and data protection law. The allocation of data protection responsibilities is described in the Privacy Policy.
4.4 You warrant that you will not create, store, submit, or otherwise provide on or through the Services any content that:
- is abusive, harassing, hateful, offensive, threatening, or otherwise violates any law or infringes upon the rights of any third party (including copyright, privacy, publicity, trademark, or other personal or proprietary rights);
- constitutes a job posting that is fraudulent, misleading, discriminatory, or not for a genuine vacancy;
- impersonates any person or entity, or misrepresents a relationship with any business, association, or other organization;
- contains software viruses or any other computer code, files, or programs designed to alter, damage, or interrupt the functionality of the Services or the systems of others;
- constitutes unsolicited advertising, promotional materials, or any other form of solicitation;
- materially compromises the security or operation of the Services, or exploits or harms another person; or
- may expose Cofounderie or any third party to harm or liabilities of any kind.
4.5 Cofounderie may review and remove content where reasonably necessary to address a breach of these Terms or applicable law. Where practicable, we explain the reason and provide a way to contact support about an error, subject to legal and security restrictions.
4.6 Cofounderie may suspend or restrict access to the Services where reasonably necessary to address a security risk, suspected unlawful activity, a material breach of these Terms, harm to the Services or another person, or a legal requirement. Where practicable, Cofounderie will give notice and an opportunity to cure, and will act without notice only where delay would create material risk or where law prohibits notice. Following termination, your workspace is hidden and processing stops; until it is erased, you can request an export through support@getrolio.com, and the remaining User Content is erased on request within 30 days of the request, except for content suspended for unlawfulness or urgent security reasons.
4.7 We respect the intellectual property rights of others. If you believe that content available through the Services infringes a copyright or other intellectual property right you own or are authorized to act for, notify us at support@getrolio.com with a description of the allegedly infringing content, its location in the Services, and the basis of your claim. We will review such notices and take the action we consider appropriate, including removal of the content.
4.8 If you send Cofounderie feedback, innovations, or suggestions regarding the Services, you grant Cofounderie a non-exclusive, perpetual, royalty-free, and worldwide right to use and exploit such feedback without restriction or compensation.
4.9 Authorized company representatives may request a copy of workspace data through available export controls or by contacting support. We will verify authority and explain the available scope and format. An export does not close the account or delete the source data. You are responsible for protecting downloaded copies and reviewing them before disclosure to others, including in response to an applicant's access request. Our obligation to assist with personal-data requests is governed by the DPA.
5. Free and Paid Services
In short: The core product is free and collects no payment data. Sourcing & recruiting services are paid and agreed separately.
5.1 The hiring software is free to use: no subscription fee, no per-seat fee, no credit card, no trial expiry and no paid software tier. Unlimited jobs, applications and teammates are included for normal use by a hiring team. We may apply fair-use limits and protective measures against automated, abusive or plainly non-hiring use, such as bulk scraping or mass uploads unrelated to your own hiring; these never create charges, and we will tell you before restricting an account. Optional paid work (section 5.2) is never purchased by signing up for or using the software.
5.2 Optional sourcing and recruiting support requires a separate agreement on scope, price and payment terms before paid work begins. That agreement governs that engagement and does not impose a software subscription. Buying support does not give unrestricted access to another company's workspace or to candidates who have not agreed to the relevant sharing.
6. Termination
In short: You can leave at any time. Request any data you need before deleting a workspace.
6.1 You can stop using the Services at any time and request account closure using available account controls or by emailing support@getrolio.com. We verify your identity and, for company-wide deletion, your authority. Closing a personal account or removing a teammate does not automatically delete the company's workspace. An authorized company representative should arrange an export before requesting workspace deletion.
6.2 Handling of your data after termination is described in the Privacy Policy.
7. Limitation on Types of Damages and Liability
In short: We are liable where the law says we must be. Beyond that, our liability for the free product is capped at USD 100, and hiring decisions are entirely the employer’s.
7.1 Nothing in these Terms excludes or limits liability to the extent such exclusion or limitation is prohibited by applicable law, including liability for fraud, willful misconduct, gross fault, death or personal injury caused by negligence, or liability arising from a harmful act where applicable law does not permit its limitation.
7.2 Subject to paragraph 7.1 and to the maximum extent permitted by applicable law, Cofounderie is not liable under these Terms for indirect or consequential loss, or for loss of profit, revenue, business opportunity, goodwill, or anticipated savings, except to the extent such loss was a direct and reasonably foreseeable result of a breach of these Terms by Cofounderie and cannot lawfully be excluded.
7.3 Subject to paragraph 7.1 and to the maximum extent permitted by applicable law, Cofounderie's aggregate contractual liability arising from the free Services will not exceed one hundred United States dollars (USD 100.00). Liability under a separately agreed paid sourcing or recruiting engagement is governed by that engagement's written agreement. This clause does not purport to limit non-contractual liability where such limitation is void under applicable law.
7.4 These limitations also apply to claims made directly against Cofounderie's affiliates, legal representatives, and employees. Mandatory statutory rights, especially those protecting consumers under the laws of your country of residence, remain unaffected.
7.5 Customers alone control job requirements, screening criteria, communications, interviews, and hiring decisions. Cofounderie is not an employer, employment agency, or party to an employment relationship merely because the Services are used, and does not guarantee the identity, suitability, availability, or conduct of any Customer or Applicant. Any recruiting or staffing services provided by Cofounderie are governed by their separate agreements and applicable law.
8. Indemnification
In short: If your job postings or your handling of applicant data cause a third party to bring a claim against us, your business covers it — unless it was our fault.
8.1 If you are acting in the course of a business, you shall indemnify and hold harmless Cofounderie and its officers, employees, and affiliates from and against claims and reasonable expenses of third parties arising out of or attributable to (i) your breach of these Terms, (ii) job postings or other content you publish through the Services, or (iii) your handling of applicant data received through the Services, except to the extent caused by Cofounderie.
8.2 Cofounderie will notify you promptly of any claim subject to paragraph 8.1 and provide reasonable cooperation at your expense. You control the defense of such a claim; Cofounderie may participate with its own counsel at its own cost. You may not settle a claim in a way that admits fault on behalf of Cofounderie or imposes non-monetary obligations on Cofounderie without Cofounderie's prior written consent.
9. Privacy and Data Processing
In short: The Privacy Policy explains how data is handled; the Data Processing Addendum governs how we process applicant data on your behalf.
9.1 Our Privacy Policy describes how personal data is processed in connection with the Services, including the allocation of responsibilities between Cofounderie and Customers for applicant data.
9.2 Where Cofounderie processes personal data on a Customer's behalf — in particular applicant and candidate data in the Customer's workspace — the Data Processing Addendum forms part of these Terms and governs that processing.
10. Miscellaneous
In short: Dubai law and courts (for business users), consumer protections stay intact, the English text prevails, and we talk before anyone litigates.
10.1 If any provision of these Terms is invalid, illegal, or unenforceable, it is deemed severed to that extent and the remaining provisions stay in force. Not exercising a right under these Terms does not waive it, and waiving one breach does not waive a later one.
10.2 Neither party is liable for a failure or delay caused by circumstances beyond its reasonable control, including natural disasters, war, terrorism, labor disputes, governmental action, power or telecommunications failures, or failures of third-party infrastructure. This does not excuse payment obligations under a separate paid-services agreement.
10.3 Cofounderie may assign these Terms in connection with a merger, reorganization, financing, or sale of all or substantially all of its business or assets, subject to appropriate safeguards for your data. You may not assign these Terms without Cofounderie's prior written consent.
10.4 These Terms, the Privacy Policy, the Data Processing Addendum, and any separate written agreement for paid services constitute the entire agreement between you and Cofounderie regarding the Services. In case of conflict, a separate written agreement for paid services prevails over these Terms, and the Data Processing Addendum prevails for processing of personal data on a Customer's behalf.
10.5 We communicate with you electronically: notices go to the email address associated with your account or appear in the product, and you can send notices to support@getrolio.com. Electronic agreements, notices, and disclosures satisfy any legal written-form requirement, to the extent permitted by applicable law.
10.6 The parties are independent contractors. These Terms do not create a partnership, joint venture, agency, or employment relationship, and confer no rights on any third party.
10.7 If these Terms are made available in languages other than English, the original English text prevails in the case of a dispute, to the extent permitted by applicable law.
10.8 If you have any concern or dispute about the Services, you agree to first attempt to resolve it informally by contacting us at support@getrolio.com.
10.9 These Terms are governed by and construed in accordance with the laws of the United Arab Emirates as applicable in the Emirate of Dubai, excluding the United Nations Convention on the International Sale of Goods (CISG). Statutory provisions (especially consumer protection provisions), as legally required by your country of residence, remain unaffected.
10.10 Disputes arising in connection with these Terms are subject to the exclusive jurisdiction of the courts of the Emirate of Dubai, if you are acting in the course of a business. Mandatory statutory rules on jurisdiction, especially those protecting consumers, remain unaffected.
